Google Workspace backup: get back the email and files Google won't keep

We back up your company's Gmail, Drive, shared drives, Calendar and Contacts every day, outside of Google. When someone deletes, leaves or has an account compromised, you restore anything from one email to an entire account.

The service

Google keeps the platform running. Keeping your data is on you

A Google Workspace backup is an independent copy of the data your business keeps in Google — Gmail, Drive and shared drives, Calendar and Contacts — stored outside your Google tenant. Deletions, sync mistakes or an attacker inside an account can't touch it.

Plenty of companies assume Google keeps everything forever. It doesn't. Google's own admin documentation gives you 25 days to restore Drive files after a user empties their trash, and 20 days to restore a deleted user account. After that, the data is purged and even Google can't bring it back.

The scenarios are ordinary. Someone leaves and IT deletes the account to release the license. A well-meaning cleanup wipes a project folder in a shared drive. A sync job overwrites good versions with bad ones. A compromised account gets emptied. With a backup in place, each of these is a restore, not a rebuild.

We run Acronis Backup for Google Workspace, part of Acronis Cyber Protect Cloud. It's cloud-to-cloud, so nothing gets installed on your team's computers. It covers Gmail, Drive (including shared drives), Calendar and Contacts, picks up new users and shared drives automatically, and lets you search and restore a single message, a file, a folder or a whole account.

mitecni.co is an Acronis Platinum Service Provider based in Colombia, serving companies in Colombia and the US. What we sell is the operation around the tool: we configure the backup, check every day that jobs finished, handle restores when you ask, and run restore tests on request or on a schedule we agree (monthly or quarterly).

No IT department? We do it all — you just message us when something needs to come back. Have an IT team? We give them console access for quick self-service restores while we keep daily monitoring, large restores and testing. Everything is delivered remotely, in English, on Colombia time (UTC-5), one hour behind US Eastern in summer and the same in winter.

  • Gmail, Drive, shared drives, Calendar and Contacts in one service
  • Stored outside Google, so a deletion or compromised account can't reach it
  • Granular restores: one email, one file, one folder or a former employee's full account
  • New users protected automatically — nobody has to remember
  • Nothing installed on laptops: cloud-to-cloud backup
  • Restore tests on request or on an agreed schedule

Process

How we set up Google Workspace backup

  1. 01

    30-minute call

We go over how many accounts and shared drives you have, which data is critical, how long you need to keep it, and what happens today when someone leaves.

  2. 02

    Written proposal

You get the scope (accounts, shared drives, retention), response times in writing and the monthly fee.

  3. 03

    Connection and first full backup

We connect to your Google Workspace with least-privilege permissions and run the first full backup, which can take hours or days depending on volume. Your team won't notice.

  4. 04

    Daily backups, monitoring and reporting

Backups run on their own. We watch the results, fix any failure before the next cycle and send a monthly report on backup health and restores performed.

FAQ

Google Workspace backup FAQs

Doesn't Google back up my Google Workspace data?

Google protects its infrastructure so the service stays up, but it doesn't keep what your company deletes. Per Google's admin documentation, Drive files removed from the trash can be restored for 25 days, and a deleted user account for 20 days. An independent backup extends that window to whatever your business needs.

What does the backup cover?

Gmail (messages and attachments), each user's Google Drive, shared drives, Calendar and Contacts. On the call we check whether you rely on other Google apps for critical data and tell you plainly what is and isn't covered.

What happens when an employee leaves?

That's the most common case. With backup in place you can delete the account and stop paying for the license without losing the person's email or files. They stay in the backup and we restore them to another account — usually their replacement — whenever needed.

Can I restore a single email or file?

Yes. You can search for and restore one message, one file or one folder without restoring the whole account — or bring back an entire account if that's what you need.

How often does it run, and how long is data kept?

A daily automatic backup by default. Retention is set with you based on legal and business needs and written into the proposal. If a department needs more frequent backups, we'll cover that on the call.

How much does Google Workspace backup cost?

It depends on the number of accounts, whether shared drives are included, the retention period, and whether you bundle it with email security. It's billed per account per month. After a 30-minute call we send a written proposal.

Where are backups stored, and who can see them?

In the Acronis cloud, encrypted and separate from your Google tenant. Access is limited to people you authorize and our team for service operations. We'll confirm the data center region for your account in writing.
